How SwarmLine handles your data

Plain version: we only collect what's needed to get a swarm collected, we share your details with one beekeeper and only after they accept, and we delete everything within 72 hours. The detail is below.

Who we are

SwarmLine is operated by Culshaw Consulting Ltd (Company No. 16938477), Brigstock, Northamptonshire, which is the data controller for the information described here. You can reach us about your data at privacy@swarmline.uk.

If you report a swarm

What we collect: the photo you upload, your name and phone number, and the location you pin for the swarm.

Why, and our lawful basis: to arrange collection of the swarm by a local beekeeper. Our lawful basis is your consent — we ask you to agree before any of your details are shared, and you can decline at any point.

Who we share it with: when a beekeeper accepts your swarm, we share your name, phone number and the swarm's location with that one beekeeper only. Beekeepers we contact who don't accept never receive your details — at that stage they see only an approximate distance and direction, never your name, number, exact location or photo. We never forward your photo to anyone.

How long we keep it: your report details and photo are deleted automatically within 72 hours. We do not keep them for marketing, analytics, or any other purpose.

If you register as a collector

What we collect: your name, email, phone number, the location you set, your travel distance, and whether you do cut-outs.

Why, and our lawful basis: to list you as an available swarm collector and email you when a swarm is reported near you. Our lawful basis is your consent, given when you join the list.

Who we share it with: your name and phone number are shared with a member of the public only when you accept their swarm. Your email is never shared.

How long we keep it: for as long as you're on the list. You can come off it at any time (see below), after which we deactivate your listing.

Your rights

Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, or stop using it. To do any of these, email privacy@swarmline.uk. Collectors can ask to be removed from the list at any time and we'll deactivate your listing promptly.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Other things worth knowing

How the maps work: the map uses OpenStreetMap to show and set locations. Your browser loads map images from OpenStreetMap to do this.

Photo identification: the photo you upload is analysed automatically to identify the type of bee. It isn't reviewed by a person unless something goes wrong, and it's deleted on the same 72-hour schedule.

Email: collector notifications are sent by email through our email provider. We don't use your email for anything other than SwarmLine swarm requests and service messages.

We may update this notice as the service develops. This version is current as of deployment.
